STALL HOLDER | Terms & Conditions

Sell or Promote:   Sunday 30th November, 2025

Davis Field, Trentham, Upper Hutt. Got something that you want to get in front of thousands of people and sell or promote? Here is your opportunity to do that, and whether it's car-related or not, it's a great event to be able to put your best foot forward and let people know about you.

Once you submit your application, you will be notified by email, upon acceptance. This application does not include Food or Beverage trucks/stalls - please see the food truck application HERE.

Power:

You must have your own Power source i.e. a Generator, as there is no power provided. Your Generator must be a silent type 4 Stroke.

Electrical:

Any Electrical appliances used on site, must have a current Electrical Safety Tag. This also includes any Power or Extension leads you use.

Marquees, Tents or Pop up's:

Any or all Marquees, Tents or Pop up's used, must be pegged down to prevent them from blowing over or off your site, onto Vehicles or other sites. Failure to do this may mean that you will need to take your Marquee or Tent down.

Rules:

As part of entering the Capital Cruise event, you agree to abide by all Rules and Conditions as set out. You also agree that you are responsible for staff who you bring to the event and that they will also abide by the Rules and Conditions of the event. Entry:

By entering, you agree that the organizers have the right to decline entry to any person/s for any reason they see fit. You also agree to follow the instructions of the Promoter, the Organisers or the Event Marshals, at all times.

You must wear the Wristband that you are given to gain entry into the event. This must be worn at all times for the duration of the event. As a Stall Holder your wristband will be a different colour to those of the entrants.

Conduct:

Your conduct during the event, will be of a professional manner, otherwise you may be asked to leave the event. This also applies to those you bring with you, to the event. 

Pack In:

Your site set up will take place from 7.00am on Sunday Morning, 30th November 2025, and will be completed by 9.00am please. The gates open to the Public at 9.00am. Anything outside of this will need to be arranged with the Promoter, and will be at your own risk.

Pack Out:

Pack out will not commence until after 1.00pm on Sunday 30th November 2025, the Show will still be open to the Public until then. Pack out must be completed by 3.00pm please. The Site must be returned to its original condition upon completion of your Pack out.

Loss:

The Promoter or Organisers will not be responsible for any lost or stolen items from your display or stand, please make sure you take the necessary security measures for your site.

Photos:

You agree that images or photographs taken of you, your stand or your possessions while at the event, may be used by the Promoter for their own or future purposes.

Rubbish:

All of your Rubbish must be placed in the Waste Bins stationed around the event, or taken with you when you depart, there is to be no rubbish left on your site.

Postponement:

If by chance we are forced to Postpone or Cancel all or part of the event, e.g. for poor weather conditions, a pandemic, an illness outbreak or another government imposed or controlled regulation that forces us to cancel or postpone the event, your entry fee will be held as a credit for a future event.

Refunds:

There will be no refunds, you may sell your entry to another Stall holder, however this must be approved by the Promoter before happening, otherwise they may risk non entry. Your entrance fee will not be recoverable by you and you will have no claim against the Promoter or Organiser. 

In the unlikely event that the committee declines your application, you will get all monies paid, back.

Pets:

There are No Pets/Dogs permitted or allowed to enter Davis Field, the area where we are holding the Capital Cruise Park-Up on Sunday 30th November. Registered Service Animals are however allowed. This is a restriction that has been imposed on us buy the owners of Davis Field, and will be strictly monitored and adhered to. You may be asked to leave if you breach this.

Alcohol:

There is to be no Alcohol or Drugs at the Sunday Capital Cruise Park-Up.

Liability:

By entering, you agree that the Promoter or Organiser, are not liable for any damage to or loss of your personal property or merchandise during the Capital Cruise event. You also agree, that you are responsible for any damage caused by you, your work colleagues or your equipment, to items owned by other people, which includes but not limited to, Vehicles, others Merchandise Stands, Food Trucks, Equipment or Buildings at Davis Field, or any other item.

Licences:

You are responsible for your own insurance and or licenses required to sell or promote your products at the Capital Cruise event.

ACCEPTANCE: Please note that your application may not necessarily be accepted until the Promoter agrees to it. You will be notified by email either way. If your application is not accepted the entry costs will be refunded.
